Gender Identity and Pronouns in the WebPT EMR

The relationship between patient and provider is imperative to ensuring adherence to care plans, achieving desired patient outcomes, and a satisfying patient experience. To help provide a more inclusive care environment for your patients, weā€™ve added some new fields to help document your patientsā€™ gender identities. In this article, weā€™ll review how to record a patientā€™s gender identity, preferred name, pronouns, and more, and how to use this information after itā€™s saved.

Important: As a reminder, please beware that gender identity information is protected by HIPAA and cannot be used to discriminate, and should not be disclosed unless permitted by law.

Gender Identity and Pronoun Settings

The ability to collect a patient's gender identity and pronouns is On by default. If your practice does not wish to collect the gender identity and the preferred pronouns of your patients, this setting can be turned Off in Company Settings

Patient Info

The Add Patient screen now features new gender identity fields, and some pre-existing fields have been updated. See the descriptions below to check out whatā€™s new:
  1. Sex: Use this field to record a patient's "birth sex" or "administrative sex", which is important for billing purposes. This field was previously referred to as ā€œGenderā€.
  2. Gender Identity: Use this field to record a patientā€™s gender identity. Choose from the list of 34 options, including Self-Described, which allows you to document another option in a text box.
  3. Preferred Name: Use this field to record a patientā€™s preferred name, sometimes referred to as a chosen name or nickname. 
  4. Pronouns: Use this field to record a patientā€™s preferred pronouns. Choose from 14 options, including Self-Described, which allows you to document another option in a text box.

Quick Add Patient

These new fields are also present when using Quick Add to add a patient:

  • Preferred Name: Use this field to record a patientā€™s preferred name, sometimes referred to as a chosen name or nickname.
  • Sex: Use this field to record a patient's "birth sex" or "administrative sex", which is important for billing purposes. This field was previously referred to as ā€œGenderā€.
  • Pronouns: Use this field to record a patientā€™s preferred pronouns. Choose from 14 options, including Self-Described, which allows you to document another option in a text box.
  • Gender Identity: Use this field to record a patientā€™s gender identity. Choose from the list of 34 options, including Self-Described, which allows you to document another option in a text box.

Patient Intake Form

The intake invitation patients receive via email, features these fields as well: 

  • Preferred Name: Use this field to record a patientā€™s preferred name, sometimes referred to as a chosen name or nickname. 
  • Pronouns: Use this field to record a patientā€™s preferred pronouns. Choose from 14 options, including Self-Described, which allows you to document another option in a text box.
  • Sex: Use this field to record a patient's "birth sex" or "administrative sex", which is important for billing purposes. This field was previously referred to as ā€œGenderā€.
  • Gender Identity: Use this field to record a patientā€™s gender identity. Choose from the list of 34 options, including Self-Described, which allows you to document another option in a text box.

Reference the Documented Gender Identity and Pronouns

After recording a patientā€™s gender identity, preferred name, and pronouns, the WebPT EMR will surface this information in a number of places, so that you can quickly reference it while working with patients: 

On the Scheduler

After documenting a patientā€™s preferred name and pronouns, this information will be displayed in a variety of places on the scheduler. 

  • The patientā€™s preferred name and pronoun will display in the What field when scheduling an appointment.

  • After saving the appointment, that information will appear on the calendar event, as well as when you hover over the appointment. 

  • Additionally, once the appointment is saved, the patientā€™s preferred name and pronoun will display in the Agenda section of the WebPT Dashboard

Patient Search Results

When searching for a patient, documented pronouns will also appear in the patient search results. 

Patient Chart (SOAP 1.0)

Documented pronouns and preferred names will appear at the very top of the patient chart.

Documented pronouns and preferred names will appear at the very top of the patient chart.

When documenting a patientā€™s gender identity and pronouns, there are 34 gender identity and 14 pronoun options to choose from:

*Note: Choosing the Self-Described option will add a required free text field where you can document an option not included in the dropdowns. Entries to this field that are longer than 10 characters will be truncated to show the first 10 characters.
