WebPT Multi-Clinic Mode: Modified Patient Chart Access

WebPT Multi-Clinic Mode allows you to view a modified version of the WebPT EMR Patient Chart. Just click the patient link inside the calendar hover over to access the modified patient chart.

In Multi-Clinic Mode mode, the patient chart link defaults to the Patient Records page.

In this modified chart view, you will have access to:

Patient Info

Access the Patient Info tab whenever you want to visit the patient information screen. You can review and edit the patient demographics, patient insurance, and case information here.

Records

From the Records tab, you can review patient demographics, physician, Insurance, and other important information about your patients. You’ll also be able to view the types of clinical documentation and the status of the documentation in SOAP 1.0.

Note: This is not yet available for SOAP 2.0.

In addition, you can view Payer Alerts displayed in Red (when triggered) and additional Case Details, such as:

  • Visits
  • Auth/Ins Visits (noted expiration date)
  • Prescription (noted expiration date)
  • Cancel/No Show
  • Additional Info (any info you want to get in front of the provider for this patient)
  • Medicare Therapy Threshold

Chart Notes

Chart Notes are available in the Chart Notes section of the patient chart. These note types are brief notes that are not part of the patient’s medical records but may provide important details about a patient such as, “The patient is hard of hearing”  

  1. From the patient case tab, click on Chart Notes.

  2. Then from the Patient Note Actions drop-down, select Create Note and the play button to enter your note information.

  3. Select the date.

  4. Add your note.
  5. Click Create Note to save the note. 

Once saved you can view the information in the Chart Notes section of the patient’s case. If you need to edit the note, click Edit to update the information. Click Remove, to delete the note from the patient’s chart.

Upcoming Appointments/Previous Appointments

View or Print upcoming or previous appointments for a patient. 

  1. Click either Upcoming Appointments or Previous Appointments in the patient case, to open the pop-up window with the appointment list, clinic locations, and print option.

  2. Click the link, "Click here to print this page."

Patient Payments

Click Patient Payments in the patient case to view a list of all the patient’s payments and add patient payments to a case. You can also send, print, or export the patient’s payment information.

Note: Credit Card payments can only be processed using credit cards on file. 

eDocs

eDocs allows you to upload external patient documents to the patient's account, like medical records, insurance cards, and more. To view uploaded documents in this section, select View Document and click the play button. Then, a PDF of the document will open in a separate window.

Patient Record Actions

Cancel/No Show

Mark appointments as Cancel or No Show using the Patient Record Actions dropdown then click the play button.

  1. Use the Type drop-down to choose Cancel or No Show.
  2. Type the details in the Reason/Comments text box.
  3. Click Add Missed Appointment to save.
