Let’s review how to use the Patient Search to evaluate your clinic’s patient discharge practices. Do you know the difference between discharging a patient and inactivating a patient? One of the most common errors occurs when a therapist inactivates a patient instead of discharging the patient’s case(s).

Once a patient completes treatment at your clinic, it is important to correctly discharge their case in order to bill out their last visit.

Meanwhile, changing a patient’s case status to Inactive should only be done when:

The patient record is a test patient
The patient record is a duplicate entry

Some may consider a patient who never came in for treatment would be an inactive patient however, you should carefully consider how this may affect your KPI and reporting needs for your clinic, especially your referral reporting. Why?

Inactivating patients instead of discharging them removes the patient’s data from Analytics—including case, referral, visit, note, prescription/authorization, and billing data—significantly impacting your KPIs and reporting capability.

For WebPT Billing Members, inactivating patients in the WebPT EMR while there are open transactions in Billing, financial and referral reports will not accurately reflect patient information.

How Often?

We recommend using the Patient Search list to review your Inactive patient list on a monthly basis.

Where?

Select Display Patients from the Patient Manager.
Select All Clinic Patients for the Search Type, then select Inactive for the Patient Status. Click Search All to generate the list of inactive patients.
Inactive patient list: Review the total number of Inactive patients to flag large quantities. If you have 200+ inactivated patients, it is likely that you are not using the feature correctly, as many of these patients should have been Discharged.
Discharged patient list: Review the total number of Discharged patients, then compare the number of Discharged patients to the number of Inactive patients.

When the Inactive list is greater than the Discharged list, this is another sign that patients are incorrectly inactivated instead of discharged.
