Benefit Verification (Analytics Report)

The Benefits Verification Report is an Analysis Grid-style report that helps you manage benefits for upcoming patient visits rather than specific appointments. It shows scheduled appointments and current insurance policy information that exists for the patient, who verified the insurance policy information, and when the insurance policy information was verified. Data Notes
  • This report updates hourly, so recently scheduled patients will not appear on this list until the next hourly update. It may take about 30 seconds to run based on patient volume and to gather the data you need to support verifications. 
  • Individual patients may be listed multiple times since this report pulls each individual appointment during a specified time frame.
  • The Visit Type of Other displays when the status on the scheduler is left blank.

Location

You can locate this report in the  Visits section of Reports in Analytics. If you do not see the report listed in this section, ensure that you have the correct Analytics Access permission.

Run and Customize the Report

  1. Choose which clinics appear in the report using the View Clinics by: drop-down menu and corresponding (…) button.
  2. Because appointments are scheduled in advance, you can run this report for dates in the future to help you understand your clinic’s schedules for the coming week.
  3. Add Filters to create specific segments of data using any of the column values in the report.
  4. Select Add Chart to visualize the data. Charts can be saved and displayed in your Custom Dashboards.
  5. Use the Column Headers to Sort, Filter, Group, Aggregate, or Format the report output.
  6. Once you've manipulated the report to your liking, you can save the customizations to your Saved Reports to run again later or share it with others in your organization.

Column Field Descriptions


Field Name Definition  Source
Company Name (Hidden) The Company Name as listed in the EMR database EMR Admin Page
TIN (Hidden) The TIN as listed in the EMR database EMR Admin Page
Clinic Name The clinic associated with the scheduled event. Scheduler/Patient Appointments.
Patient ID The WebPT EMR Patient ID. Patient ID that is located at the end of the URL on the Patient chart (Note: This is different from the patient ID on the Scheduled Visits report).
Patient Name The patient's name associated with the scheduled event. What field in the Add/Edit Appointment Window on the Scheduler.
Patient DOB Patient's date of birth. Date of Birth field on the Patient Info screen.
Case Title The patient's case as listed in the scheduled event. What field in the Add/Edit Appointment Window on the Scheduler.
Treating Therapist The name of the therapist/therapist's calendar that appears in the patient's appointment. Schedule field in the Add/Edit Appointment Window on the Scheduler.
Case Therapist The name of the assigned case therapist associated with the scheduled patient's case. Assigned Therapist field in the Add/Edit Case window.
Appointment Type The type of appointment selected on the Scheduler. Type drop-down in the Add/Edit Appointment Window on the Scheduler.
Appointment Date The date of the scheduled appointment. When a field in the Add/Edit Appointment Window on the Scheduler.
Visit Status The status of the appointment. Options include: Cancelled, No Show, Checked In, Checked Out, and Other. Other is when an appointment does not have an associated status. Status field in the Add/Edit Appointment Window on the Scheduler.
Start Time The start time for the scheduled appointment. When field in the Add/Edit Appointment Window on the Scheduler.
End Time The end time for the scheduled appointment. When field in the Add/Edit Appointment Window on the Scheduler.
Check In Time The timestamp for check-in, as marked within the EMR. Check-In Button on the Edit Appointment window on the Scheduler.
Primary Insurance Name Name of the primary insurance. Primary Insurance field on the Case that is listed in the What field on the Appointment Window on the Scheduler.
Primary Insurance Policy Begin Date The beginning date of coverage for the patient by the primary insurance. Policy Dates field on the Edit Insurance screen (from the Edit Patient screen) for the Primary Insurance.
Primary Insurance Policy End Date The end date of coverage for the patient by the primary insurance. Policy Dates field on the Edit Insurance screen (from the Edit Patient screen) for the Primary Insurance.
Primary Insurance Policy Number Patient’s Subscriber ID or MBI for the primary insurance. Subscriber ID or MBI field on the Edit Insurance screen (from the Edit Patient screen) for the primary insurance.
Primary Insurance Phone Number The phone number for the primary insurance. Phone field on Edit Insurance screen for the Primary Insurance.
Primary Insurance Verified Date The date the insurance was verified for the primary insurance. Verified Date on Edit Insurance screen for the Primary Insurance.
Primary Insurance Verified By The name of the user who verified the primary insurance. User Name who entered the verified date on the Edit Insurance screen for the Primary Insurance.
Secondary Insurance Name Name of the secondary insurance. Secondary Insurance field on the Case that is listed in the What field on the Appointment Window on the Scheduler.
Secondary Insurance Policy Begin Date The beginning date of coverage for the patient by the secondary insurance. Policy Dates field on the Edit Insurance screen (from the Edit Patient screen) for the secondary insurance.
Secondary Insurance Policy End Date The end date of coverage for the patient by the secondary insurance. Policy Dates field on the Edit Insurance screen (from the Edit Patient screen) for the secondary insurance.
