One-Time Visit

The most common reason for documenting a one-time visit is for Orthosis Fabrication. However, your clinic may have specialized cases where you know a patient is coming in for a single visit. There are two methods for documenting a one-time visit within the system:

  • Insurances With FLR Setting
  • All Other Insurances

Insurances With FLR Enabled

The following insurance setting must be checked on an insurance to use this method:

  1. Create a new case and designate the FLR-enabled insurance as the Primary Insurance. Don’t forget to click Save Patient once the case has been added.
  2. Switch to the patient’s chart and ensure the new case is selected. 
  3. Select the appropriate Patient Record Action. This should be Add Initial Examination or Orthosis Fabrication.
  4. At the top of the Subjective tab, in the Basic Info section, check the One Time Visit checkbox. 
  5. For Orthosis Fabrication, you must also complete the Select Orthosis Fabrication Profile box in the same section (Basic Info). This will add additional orthoses to the Billing tab.
  6. Finish the rest of the note and Finalize. A Discharge Note and Daily Note will also be created automatically.

All Other Insurances

  1. Create a new case. Don’t forget to click Save Patient once the case has been added.
  2. Switch to the patient’s chart and ensure the new case is selected. 
  3. Select Orthosis Fabrication from the Patient Record Actions drop-down. 
  4. Complete the Select Orthosis Fabrication Profile box in the Basic Info section of the Subjective tab. This will add additional orthoses to the Billing tab.
  5. On the Plan tab, the Frequency will automatically be set to "1 time visit only".
  6. Then, change the Plan to “Discharge”. Complete the newly generated Reason textbox.
  7. Finish the rest of the note and Finalize. A Discharge Note and Orthosis Fabrication Daily Note will also be created automatically.

Tip: On the Billing tab, you have the ability to exclude a Daily Note from being generated. If you are not billing insurance or the patient for the visit, we recommend you still include the Daily Note but select No Charges This Visit instead.
